* The cut off time for next day delivery by 10 a.m. varies depending on area. For example the cut off time for next day delivery by 10a.m for the Kanto Area including Tokyo is 6 p.m. the previous evening.
Translations to areas where the next day delivery by 10 a.m. is not listed shall be delivered to the major areas by EXPACK sometime the following day.

It is possible to obtain duplicate copies of the translation for 1,050 yen each if ordered at the time of the original order. Duplicate copies ordered at separate times are 3,150 yen each.
To obtain a duplicate copy please send us a copy of the original and inform us of the unique issue number and date of issue.

3. Certificate of Translation

It is standard for our Company to attach a Certificate of Translation with our translations including those for Family Registers; however, if you require translation certification from your national Consulate or a Notary at the Notary Public Office rather than from Samurai, please contact us for instructions.

4. Order to Delivery Process

(1) Fill out and send us the application form

The Application Form is at the top of the page or you can access the application page by clicking on Online Application.

Please fill out the required items.

In filling out the application form, please take care to enter names in kanji with their corresponding readings, especially for names to be entered into the Family Registers. This applies not only to the name of the applicant but also to names of the head of family, spouse, parents, and depending on the case, grandparents and any others recorded in the Family Register. It would also be useful to us if you could add readings for any kanji names with unique readings or names with more than one possible reading. Even though the reading of your name may be obvious to you it might not be read correctly by others unfamiliar with the reading. For example Ms. 裕子 may think the reading of her name apparent as "Hiroko" however, others not acquainted with her may read her name as "Yuko". However, we only ask you to enter the readings of the names depending on the purpose etc. of the translation you need only enter the readings of other names if you are concerned with how the names of others are displayed in the translation.

In addition, it is often the case that Visa Applications etc., are sent together with the Passport for inspection, therefore our company as a rule displays full names using the Hepburn System of Romanization which is the same system used for names displayed in passports. However, depending on the name there may be several spelling possibilities (expressing long vowels etc. for example こうた may be written in the passport as "Kota" or as "Kohta") therefore those who would like to specially request their names to be spelt as in their passports should please notify us in advance. Those with passports in their possession need only provide us a copy.

(2) Fax the Originals

Please fax us the originals of your Family Registers, Abridged Family Registers and any other documents you would like us to translate to the fax number provided below. (For more information on the meaning, procurer and procurement method etc. of the information recorded in the Family Register and Abridged Family Register, please refer to the Family Registration Act). Also, when sending us a fax please select Fine Mode.

The area code is 03; however, this is for the purpose of receiving international faxes and faxes are received by Samurai Translators in Fukuoka.
If necessary please enter the reading of the names and addresses recorded in the original document for which you filled out an application form for.

* Those who wish to apply for certification; to receive certification the original of the Family Register must be submitted to the Consulate and therefore it is necessary to send us the original register by mail. After placing your order please send the necessary documents to Samurai Translators as soon as possible. We recommend you to use special delivery.

* Once the translation is being processed by our translators we will charge you for the translation. If a cancellation of the translation is made after this you will still be charged the translation fee.

(3) Customer Check of the Translation
Before we deliver the final product to you, we shall attach the translation in an email (or fax) and send it to you for you to check over. We will then wait for you to get back to us.

If the translation is acceptable we will sign it, affix the Certificate of Translation with the translation and deliver it to you.

(4) Receipt of Translation

The translation shall arrive in the post so please collect it.

(5) Payment

Once the translation process is complete we will request payment. Below is a list of payment methods you can choose from. We would ask you to please pay before delivery of the translation.

(For those organizations requesting standing orders, the standard closing date is the final day of the month and payment is expected to be made by the second week of the following. However, please contact us to negotiate terms.)

Payment can be made easily by credit card, by bank transfer through Mizuho Bank, Tokyo Mitsubishi UFJ Bank, Fukuoka Bank etc.
